Privacy Policy

This Privacy Policy describes how the Invoice Processing Dashboard ("Application"), an internal tool operated by Shelter Advisory Group ("Company," "we," "us"), handles data. This Application is not a public-facing product and is used exclusively by authorized Company personnel.

1. Data We Process The Application processes the following types of data, all provided by authorized internal users: invoices, receipts, and financial documents (PDF, JPG, PNG); extracted invoice data such as vendor names, dates, amounts, invoice numbers, and descriptions; and QuickBooks authentication tokens (OAuth 2.0) for API integration.

2. How Data Is Used All data processed by the Application is used solely for internal business purposes: extracting text and data from uploaded financial documents, presenting extracted data for review and editing, pushing approved invoice and expense data to QuickBooks Online via Intuit's API, and generating CSV exports for accounting workflows.

3. Third-Party Services The Application integrates with Intuit QuickBooks Online for pushing invoice/expense data and managing vendors (authenticated via OAuth 2.0, only data explicitly approved by the user is sent), and Google Document AI for document text extraction and OCR processing.

4. Data Storage Uploaded documents and extracted data are stored locally on the server running the Application. QuickBooks OAuth tokens are stored in a local configuration file. No data is sold, shared with, or disclosed to any external parties beyond the third-party services listed above.

5. Data Retention Uploaded documents and batch data are retained until manually deleted by an authorized user through the Application's batch management interface.

6. Data Security Access to the Application is restricted to authorized Shelter Advisory Group personnel. OAuth tokens are stored securely and refreshed automatically. The Application does not collect personal data from the general public.

7. No Public Data Collection This Application does not collect any data from the general public. There are no analytics, tracking cookies, or advertising integrations. The Application is not accessible to anyone outside of Shelter Advisory Group.

8. Changes to This Policy This Privacy Policy may be updated as the Application evolves. Authorized users will be notified of any material changes.
